A summer party outdoors has a few extra things to sort out before you gather bids. Here is what pays to decide early.
A summer party usually runs for many hours and changes character along the way: activities or a warm-up in the late afternoon, then dinner or a barbecue, then entertainment and finally dancing. Keep the programme loose, with room to talk, take breaks and step outside for air, and only pin down fixed points where you really need them. Layer the music: quiet background or singalong tunes during the food, and a party band or a DJ once the dance floor opens. Share a rough schedule with the band so they know when to play softly and when to go full tilt.
If the band is playing outside, it needs a roof over its head - a tent or a pavilion protects both the musicians and the gear if a shower blows through. Power is the other thing to sort early. Where there is no fixed electricity by the tent, you rent a generator; they range from 2 kW to over 100 kW, so the size depends on how big a rig the band brings. For larger setups, a certified event electrician should handle the installation with an RCD (HPFI) and an emergency stop. Agree rigging points and power needs with the tent supplier in good time, so the band's rider matches what the tent can deliver.
Danish summer is unsettled, and a summer party cannot bank on sunshine. Plan for rain from the start: a tent with sides that close, or an indoor room as a backup, plus a couple of indoor activities if the weather pulls guests inside. Tell the band in advance whether there is a plan B and where it is, so they know what they are rigging into if the weather turns.
How big a band makes sense depends on how many colleagues turn up and where the party is held. Smaller, quieter events do fine with a solo musician or a duo, a compact party band covers up to around 200 guests, and once you need a stage and a full band for 2-300 guests or more, both production and space grow. A band is typically three to eight musicians and needs at least 12-16 m² of floor; the larger parties call for a raised stage, while a smaller band can play from the floor. Put the headcount and the setting in the post so musicians bid on the right job.
The summer party peaks in June and August - July empties out for the summer holidays - and those two months pull many companies towards the same weekends and the same bands. Set the date months ahead, both so more colleagues can reserve the day and so the good musicians are still free. For a Saturday in high season, count on at least 6-12 months' notice.
