How to plan the music for your company party

A company party is rarely just a band and a dance floor. Here are the practical things worth sorting out before you gather bids.

Dinner music and dance music are two jobs

A company party usually needs two layers of music. During the welcome and dinner, most people want quiet background music - a pianist, guitarist or solo singer who keeps the volume down so conversation can flow. After coffee the evening changes character: tables are cleared, and an energetic dance set takes over, often from around 11 pm to 2 am. An all-round band can cover both, but many pair a dinner musician with a band or a DJ for the after-party. Leave a 10-15 minute buffer between items so the stage can be set without dead air.

Band size follows the headcount

A band's own sound and light rig typically covers up to around 150 people. Small gatherings under about 50 guests do fine with a solo musician or duo, while a four-to-six-piece party band suits most company parties in the 80-200 range. At 400-500 guests or more, plan for an external sound company and a larger stage so the sound carries to the back of the room. Headcount decides not just the mood but how much production the night needs - put it in the post so musicians can bid on the right job.

Space, power and setup

A five-piece band needs roughly 10-12 m² of floor - about 3 by 4 metres - and preferably 12-16 m² and a raised stage at larger events. Standard 220V is enough most places, but big setups require 400V (a 3x16A power connector), so check with the venue in good time. The band usually arrives 90 minutes to two hours before showtime to rig and soundcheck; setup often happens after dinner is served and takes 60-90 minutes, with 45-60 for teardown. Remember somewhere to change and a little food - it is usually listed in the band's rider.

Book early - especially for Christmas and summer

A company party is a year-round market, but two periods peak: the summer party, when June and August are most in demand, and the julefrokost in November-December, the absolute busiest stretch of the year for party music. For those dates the good bands are booked months ahead, and popular names and weekend dates can be taken up to a year in advance. Count on at least 6-12 months' notice if you are aiming for a Saturday in high season. High season and Saturdays also cost more - our price guide reckons on a 20-50 percent premium in the busiest periods.
