A julefrokost is a long evening in several phases, and the music has to fit all of them. These are the calls worth making early.

One act for the meal, one for the dance

The most reliable recipe for a julefrokost is two kinds of music: something calm for the table and something with tempo for the floor. During dinner, speeches and sing-alongs the volume needs to stay conversation-friendly - a solo musician, trubadur or acoustic duo fits there. Once dessert is cleared and the tables move aside, a party band or cover band takes over. You can book two separate acts or one band that shifts gear across the evening; say in the post how you want to split the night, and musicians will bid accordingly.

Match the lineup to the room and the headcount

The number of guests and the size of the room decide how big a band makes sense. For a smaller julefrokost or an intimate space, a solo musician or duo goes a long way. To get 50 to 150 colleagues onto the floor, a four- to six-piece party band is the obvious choice. A band that size needs roughly 12-15 m2 of floor or stage space, so check the room can hold it before you book. For very large gatherings, professional bands bring a PA scaled to the space.

Space, power and sound in the room

If you hold the julefrokost in the canteen, the warehouse or a rented room with no fixed stage, there is no house act to lean on - but you call the shots. Most party bands bring their own PA, lighting and backline, while you as organiser provide the space, enough mains sockets to spec and access to set up before the guests arrive. Agree get-in and soundcheck in advance, usually one to two hours before the start, and flag it if there is a cap on the volume in the room.

Book before December fills up

December is the busiest month of the year for live music, and Fridays and Saturdays go first - at many venues the best December dates are taken by early autumn. The trade advises having the music settled by September, and if you have a specific date or a specific band in mind, start as early as August. The sooner you post the event, the wider the choice of available musicians, and the stronger your position when the price is agreed.
